Centralized Vehicle Data Management with the Shiftmove Platform

Why Centralized Vehicle Data Is Important

Vehicle data forms the foundation for efficient fleet management. Whether it’s the vehicle model, license plate number, mileage, or VIN – without up-to-date and consistent data, a fleet cannot be reliably managed.

In practice, many fleet managers use multiple tools at the same time – for example, Avrios for vehicle management and Vimcar for trip logging or GPS tracking.

The problem: These tools are often not connected to each other. This leads to:

  • Duplicate data entry

  • Outdated information

  • Increased risk of errors


How the Shiftmove Platform Changes That

The Shiftmove Platform connects tools within the Shiftmove ecosystem – such as Avrios and Vimcar – and ensures that your vehicle data is automatically synchronized between systems.

This eliminates the need for duplicate data entry.


How Vehicle Data Synchronization Works – Step by Step

1. Manage Vehicle Data Centrally in Avrios

New vehicles are created exclusively in Avrios.

Any changes to existing vehicles (e.g., license plate, model, status) are also made only in Avrios.

Important:
Avrios is your central source of truth for all vehicle and driver master data.
This saves you duplicate work and ensures that all connected tools always operate with up-to-date information.

2. Share Vehicles with Other Tools

You decide which vehicles should be available in which tools.

Not every vehicle needs to appear in all tools by default. With Shiftmove, you stay in full control.


You have two options:

A) Share individual vehicles:

  • Right after creating a vehicle in Avrios, you can choose to make it available in selected tools.

  • Or later via the vehicle details in Avrios
    (Click on the Shiftmove icon there)

  • With just a few clicks, you can specify in which additional Shiftmove products (e.g., Vimcar) a vehicle should be available.

B) Share Multiple Vehicles at Once (Bulk Editing):

  • Open the Shiftmove Platform.

  • Use the filter function to specifically select vehicles (e.g., all vehicles that are not yet available in Vimcar).

Tip: To filter all vehicles that are not yet available in Vimcar, simply filter by Vimcar status = Send to Vimcar.

  • With one click, you can make this group of vehicles available to additional tools.

3.Add Vehicle Details in the Target Tool

After sharing a vehicle with the Vimcar logbook, you will be redirected there.

You can find the vehicle under the tab Imported (Draft).

  • Now add product-specific details, such as the hardware ID.

4. Edit Vehicle Data Centrally in Avrios – Shiftmove Synchronizes Automatically

Once a vehicle is available in multiple tools, the Shiftmove Platform automatically synchronizes all relevant master data.

Changes you make in Avrios, such as to the license plate or model, are immediately transmitted to all connected tools (e.g., Vimcar).
This way, your entire setup always works with the most up-to-date vehicle data - without any extra effort.


How Does Mileage Synchronization Work?

The Shiftmove Platform automatically synchronizes the current mileage readings from Vimcar to Avrios—for all vehicles that:

  • Are available in both systems, and

  • Are equipped with a Vimcar dongle (telematics hardware).

When does synchronization occur?

Once daily, during nighttime hours.

The latest mileage readings are available in Avrios the next morning - without any manual effort.

Where can I find the mileage readings in Avrios?

  • In the vehicle file under the Overview tab: listed as the last known mileage.

  • In the vehicle file under the Master Data tab: the complete mileage history.

A small telematics icon indicates that the mileage was automatically recorded via telematics hardware, in this case, the Vimcar dongle.


Which Vehicle Data Is Synchronized?

Once a vehicle is available in multiple tools, Shiftmove automatically synchronizes all relevant master data between the systems. This includes, among others:

  • License plate

  • Model

  • Mileage (synchronized from Vimcar to Avrios – requires Vimcar dongle or box)

  • Vehicle Identification Number (VIN)

This ensures that you always work with the most up-to-date vehicle data across all tools.
