With custom task templates, fleet managers can centrally define recurring tasks for their vehicles – including rules for due dates, risk categories, attachments, and more. These templates can then be assigned to vehicles without having to manually recreate each task.
This feature is part of the Avrios Pro and Enterprise packages.

What Are Task Templates?
Task templates serve as blueprints for recurring workflows, such as service intervals, document checks, or seasonal inspections. Each template includes all relevant settings so that, once assigned to a vehicle, a fully configured task is created automatically.
How Do I Create a Task Template?
Navigate to: Settings > Task Templates > Vehicle Task Templates > My Custom Templates > Add
1. Set the Risk Category
Each template can be assigned a risk level, e.g. Compliance, Safety, Warranty, Operations.
This helps you quickly identify critical tasks and prioritize them accordingly.
2. Add Instructions for the Driver
You can include detailed notes or steps to ensure drivers clearly understand what needs to be done.
Examples:
“Please check the entire lighting system and document any defects.”
“Upload the insurance certificate as a PDF.”
These instructions appear directly in the task once it has been assigned to a vehicle.
3. Select Vehicle Types
Choose which vehicle types the task applies to – for example passenger cars, vans, or special-purpose vehicles.
When assigning a template, it will only be shown for compatible vehicle types, helping you keep your overview clean and efficient.
4. Set the Anchor Date for Due Dates
To ensure tasks are created at the correct time, you can define a reference date when creating a template. You can choose from:
A) Vehicle Registration Date
Ideal for annual inspections or deadlines linked to the initial registration.
B) Fleet Activation / Commissioning Date
Useful for internal service cycles, e.g. maintenance due X months after commissioning.
C) Fixed Date (DD.MM)
For tasks that occur on the same date every year – such as seasonal tire changes, insurance checks, or annual reports.
Example: 15.03 for yearly preparation for the summer season.
5. Attachment Required?
If completing a task requires a document, photo, or report, you can enable “Attachment required.”
The task can only be completed once the required proof has been uploaded.

Add a Template to an Existing Vehicle

Select the vehicle
Open the Tasks tab
Click “Add Task from Templates”
Select the desired tasks using the toggle
