Overview

By linking Avrios Pools with the Vimcar logbook, the process from vehicle reservation to tax-compliant documentation becomes fully automated. As soon as drivers book a vehicle via Avrios, the data is seamlessly transferred to Vimcar. This allows the trip to be logged directly in the logbook without the need for manual assignment.


Integration Requirements

For the automatic data exchange (Booking-to-Trip Sync) to function, the following conditions must be met:

  • Shiftmove Platform: The Shiftmove platform must be active for your company.

  • Avrios Setup: The Pools feature must be active in Avrios, and drivers must have access to the relevant pool as well as the Avrios Driver App.

  • Vimcar Setup: The Vimcar logbook must be set up. This includes the complete hardware installation (Vimcar Dongle/Logbook) in the vehicles.

  • Identical Master Data: Vehicles and drivers must exist in both systems and be marked as "Shared."

  • Login: All users must use the central Shiftmove Login for both applications.


How Data Sync Works

Information is exchanged in real-time:

  • Data Points: When a booking is made in Avrios, only the driver, vehicle, and start/end times are transferred to Vimcar.

  • Automation: Based on this data, Vimcar automatically recognizes which person was in the vehicle at the time of the trip.

  • Access Window: Drivers automatically receive access to the vehicle in Vimcar for the duration of their booking to document their trips.


The Driver Workflow: From Booking to Completed Trip

To ensure seamless documentation, drivers follow this process:

  1. Book in Avrios: Drivers reserve their desired vehicle directly via the Avrios Driver App, selecting the required time slot.

  2. Receive Confirmation Email: Once the booking is completed, drivers automatically receive a confirmation email from Avrios. This serves as a receipt for the reservation and contains all relevant details.

  3. The Trip: Drivers use the vehicle at the booked time. Thanks to the integration, no manual login at the vehicle or in the system is required before the trip begins.

  4. Automatic Assignment & Categorization: The Booking Sync automatically identifies the driver. Once the trip is finished, it is logged directly in the Vimcar logbook. Drivers can then open the Vimcar app and categorize the trip with just a few clicks (e.g., business, commute, or private).

  5. Reminders for Uncategorized Trips: If a trip is not categorized immediately, the system sends an automatic reminder. Drivers receive a reminder email from Vimcar after 7 days. A direct link in this email takes them straight to the uncategorized trip in the Vimcar app for final processing.

What Drivers Should Keep in Mind:

  • Same Login: Use the central Shiftmove Login for both apps.

  • Timing Accuracy: For the automatic assignment in Vimcar to work perfectly, the actual driving time should match the time slot booked in Avrios as closely as possible.
