Centralized Vehicle Data Management with the Shiftmove Platform
Why Centralized Vehicle Data Is Important
Vehicle data forms the foundation for efficient fleet management. Whether it’s the vehicle model, license plate number, mileage, or VIN — without up-to-date and consistent data, a fleet cannot be reliably managed.
In practice, many fleet managers use multiple tools at the same time — for example, Avrios for core fleet management and Optimum for additional fleet workflows.
The problem: These tools are often not connected to each other. This can lead to:
Duplicate data entry
Outdated information
Increased risk of errors
How the Shiftmove Platform changes that
The Shiftmove Platform connects tools within the Shiftmove ecosystem — such as Avrios and Optimum — nd helps keep vehicle data consistent between both systems.
For Avrios <> Optimum, existing vehicles from both systems are automatically matched on the Shiftmove Platform based on vehicle identifiers such as:
license plate
Vehicle Identification Number, VIN
Once vehicles are matched, relevant vehicle data can be synchronized between Avrios and Optimum.
Mileage readings from Optimum are automatically sent to Avrios and stored in the vehicle’s reference data.
This reduces the need for duplicate data entry and helps ensure that both tools work with consistent vehicle information.
How Vehicle Data Synchronization Works – Step by Step
1. Manage vehicle data centrally in Avrios
Avrios is your central fleet management solution.
Vehicle master data such as license plate, model, VIN, and vehicle status should be managed in Avrios.
This helps ensure that your core vehicle data remains clean and up to date in your main fleet management system.
Important:
Avrios is your central source of truth for all vehicle and driver master data.
This saves you duplicate work and ensures that all connected tools always operate with up-to-date information.
2. Share Vehicles with Optimum
With the Shiftmove Platform, vehicles can be connected between Avrios and Optimum so that both systems know they refer to the same vehicle.
Once a vehicle is available in both systems, the Shiftmove Platform automatically matches the vehicle records based on key identifiers such as:
license plate
Vehicle Identification Number, VIN
After the vehicle has been matched, relevant vehicle data can be synchronized between Avrios and Optimum.
This enables Optimum mileage readings to be sent automatically to Avrios and stored in the vehicle’s reference data
Important:
Vehicle master data is managed centrally in Avrios. Product-specific details and workflows are managed in Optimum.
Coming soon: automatic vehicle creation in Optimum
Automatic vehicle creation in Optimum is coming soon.
This means that when a new vehicle is created in Avrios, it will also be created in Optimum automatically.
This functionality is planned to be available by the end of Q2 2026.
Until then, new vehicles still need to be created in both Avrios and Optimum. The automatic matching and mileage synchronization already work once the vehicle exists in both systems.
3. Edit Vehicle Data Centrally in Avrios – Shiftmove Synchronizes Automatically
Once a vehicle is available and matched in both Avrios and Optimum, relevant vehicle data can be synchronized through the Shiftmove Platform.
Changes made in Avrios, such as license plate, model, VIN, or vehicle status, help keep the connected vehicle record in sync with Optimum.
Furthermore, mileage readings from Optimum are automatically sent to Avrios.
This way, both systems can work with consistent vehicle information.
How Does Mileage Synchronization Work?
The Shiftmove Platform automatically synchronizes mileage readings from Optimum to Avrios for vehicles that:
exist in both Avrios and Optimum
have been automatically matched on the Shiftmove Platform
provide mileage data through Optimum
Once these conditions are met, mileage readings from Optimum are automatically made available in Avrios.
When does synchronization occur?
Once daily, during nighttime hours.
The latest mileage readings are available in Avrios the next morning - without any manual effort.
Where can I find the mileage readings in Avrios?
In the vehicle file under the Overview tab: listed as the CURRENT MILEAGE.
In the vehicle file under the Master Data tab: the complete mileage history.
A small telematics icon indicates that the mileage was automatically recorded via telematics hardware, in this case, Optimum.
Which Vehicle Data Is Synchronized?
Once a vehicle is available in multiple tools, Shiftmove automatically synchronizes all relevant master data between the systems. This includes, among others:
License plate
Model
Mileage
Vehicle Identification Number (VIN)
This ensures that you always work with the most up-to-date vehicle data across all tools.
Important to know
Currently, Avrios <> Optimum supports the synchronization of existing and matched vehicles.
For new vehicles, the vehicle still needs to be created in both Avrios and Optimum.
After the vehicle has been created in both systems, it will be matched automatically by the Shiftmove Platform based on license plate and VIN.
Mileage synchronization from Optimum to Avrios works once the vehicle has been created and matched in both systems.
Your Benefits at a Glance:
✅ Less effort: No more duplicate data entry
✅ Fewer errors: All systems work with the same up-to-date data
✅ More efficiency: Seamless workflows across tool boundaries
