Calculating fringe benefits for the first time

  1. You can add a new column called Fringe Benefit YEAR to your vehicles table. Simply click on "Organise Columns" and insert the column into the table.

  2. You can then add fringe benefits for all the vehicles in your fleet that are also used privately. To do so, click on 'Add' in the fringe benefit column you have just added.

  3. Next you are asked to check the vehicle's CO2 emission, engine power and fuel type. This is important because the engine power and fuel type are used to find the correct vehicle in the ACI tables. CO2 emissions are used to calculate the correct fringe benefit rate for the vehicle.

Pro-Tip: When you save your vehicle registration documents in Avrios, you can click on "Go to Documents" and open your registration document in a separate tab. This is the quickest and easiest way to check that the values in Avrios match those in the vehicle registration document.

  4. In a final step, you can select the correct vehicle from the ACI tables. To make this as easy as possible for you, we show you the best matching vehicles at the top of the list. Simply select the right vehicle and click "Calculate Fringe Benefit".

Pro-Tip: To quickly select the correct vehicle from the ACI tables, we recommend that you compare the displacement (in litres) and engine power (in hp) stored in Avrios with the suggested vehicles from the ACI tables. Select the ACI vehicle for which all values match. If the values do not match for any of the suggested vehicles, please check the vehicle registration document to ensure that the engine power, displacement, vehicle model and fuel type in Avrios are correct.

Congratulations you just calculated your fringe benefit for your first vehicle.

Next, let's look at how you can send the fringe benefits to your payroll department.

Exporting fringe benefits

Once you have calculated all the fringe benefits for your fleet, you can easily export them to an Excel spreadsheet and forward it to the person responsible for payroll in your company. Let's take a look at how this works in detail:

  1. Make sure the fringe benefits column and any other value you want to export have been added to the vehicles table.

Pro tip: Usually the payroll department requires the name of the driver, the fringe benefits monthly value, the vehicle display name, and the vehicle model.

  2. Click on “Export to Excel” and download the excel file

Congratulations, you can now send the excel file to the person that is accountable for payroll in your company.
