Overview
The booking calendar allows drivers to visually check vehicle availability and make reservations directly in the Driver App. You can decide on an individual pool basis how much detail should be visible to users.
How to Adjust the Settings
Navigate to Pools & Vehicles in the main menu.
Select the pool you wish to edit.
Click the pencil icon (Edit) in the top right corner.
Scroll down to the pool settings. Here you will find the configuration options for the booking view.
Full Control: Setting Approval Workflows
Efficiency doesn’t mean losing control. You decide how autonomous the booking process should be:
Instant Confirmation: Bookings are immediately marked as "reserved." This is ideal for teams that are completely self-organizing.
Managed Approval: Every reservation is submitted as a request to the fleet manager. The vehicle is only firmly blocked for the driver after your explicit confirmation.
Daily Flexibility: Regardless of the chosen mode, you maintain a full overview at all times. You can review existing bookings, adjust them manually, or reassign them to other vehicles as needed.
Configuring Calendar Visibility (Data Privacy)
You can choose between different levels of transparency to optimally manage the flow of information within your team:
Availability Only: Drivers only see whether a time slot in the calendar is free or occupied. No details about the vehicle or the person booking are displayed.
Vehicle Details: In addition to availability, specific information such as the license plate is shown.
Full Details: Drivers also see the names of colleagues who have booked a vehicle. This is particularly useful for fostering self-organization in smaller teams.
Important Note on Login and Data Privacy
The display of the calendar and detailed booking information is strictly linked to a personal driver login.
With Driver Login: When drivers are logged in via the Driver App (or in a browser with their personal profile), they will see your selected calendar view.
Without Driver Login: If a user accesses the system without an authorized driver login (e.g., via a general desktop link), the standard form is always displayed for security reasons. This ensures that sensitive data, such as driver names, remains protected from unauthorized access.

Better Planning: Reduces inquiries to the fleet manager since availability is transparently visible.
