1) Create Post Office email addresses for organisations
In the Avrios Post Office, you can now create dedicated email addresses for specific organisations and locations, each with a customisable email identifier. Just like the invoice inbox you already know, this lets you import all types of vehicle documents flexibly by email and control permissions and document visibility precisely across complex company structures.
How it works & visibility rules
As soon as a document is sent to the email address of a specific organisation, it is available for viewing and editing by the following groups:
Members of this organisation
Members of all parent organisations
Basic rule: Access is inherited upwards only. Members of subordinate organisations or locations on the same level have no access to these documents.
How to set it up:
In the menu, go to Settings > Post Office or use this link directly: https://app.avrios.com/secure/company/post-office
Click "Add Post Office email address".
Select the organisation you want.
Customise the email identifier to suit your needs.
Confirm your entry to activate the address.

2) Automatic document assignment when creating new vehicles (re-matching)
Vehicle documents often arrive in the Post Office before the corresponding vehicle has been created in Avrios or activated from the procurement process.
From now on, no more manual follow-up: as soon as a new vehicle is created or activated, Avrios automatically checks all open vehicle documents in the Post Office and assigns matching documents directly to the vehicle.
Your benefits
No manual effort: After creating a vehicle, you no longer need to switch to the Post Office and assign waiting documents one by one.
Seamless procurement: Documents that arrive while the vehicle is still on order and contain a licence plate or VIN automatically end up in the right place once the vehicle is activated.
How it works
Document receipt: Documents arrive in the Post Office while the vehicle is still in "Procurement" status or has not been created yet.
Create/activate vehicle: You create the vehicle in Avrios or activate an existing procurement vehicle.
Automatic assignment: Avrios runs an automatic match (re-matching) in the background. Open documents in the Post Office are assigned directly to the vehicle.
Important notes & limitations
Applies to vehicles from 17 September 2026:
Automatic assignment only applies to vehicles created or activated on or after 17 September 2026. Vehicles created before the release do not trigger this automatic matching retroactively.
Filed in the main folder:
Automatically assigned vehicle documents are filed in the vehicle's main folder by default. Automatic AI sorting into specific subfolders does not currently take place during this process.
Documents require a licence plate or VIN:
For Avrios to assign a document, it must contain the licence plate or the VIN.
