Why customize your Procurement Overview?

The Procurement Overview is designed to be flexible and adaptable so you can focus on the information that matters most to your procurement workflow.

Customizing the overview helps you:

  • Streamline your workflow – Show only the most relevant information.

  • Quickly find key procurements – Use filters and sorting to locate important records.

  • Reduce clutter – Hide unnecessary columns and organize data efficiently.

This guide explains how to customize your Procurement Overview, including adjusting columns, using filters, and sorting procurements for faster access.

🛠️ How to customize your view

1️⃣ Adjusting Columns – Display only what you need

Avrios allows you to customize the columns displayed in the Procurement Overview to match your needs.

How to add or remove columns:

  1. Click on the organize columns button in the top right of the procurement list

  2. Drag and drop columns to rearrange their order.

  3. Save your settings—your custom view will be applied immediately.

💡 Example Use Case: A fleet manager needs to know which vehicles are still waiting for registration. They add the “Procured Vehicle: Registration Done” column, allowing them to quickly filter and follow up on pending registrations.

2️⃣ Understanding special columns

Avrios provides some special columns to help you quickly identify key procurement details. Some of the most useful ones include:

  • Accepted offer – See if an offer has been approved (Yes/No).

  • Registration completed – Track if the vehicle registration is finalized.

  • Fuel cards added – Check if fuel cards have been assigned.

  • Insurance status – Verify whether the vehicle’s insurance is in place.

  • Delivery date – Know exactly when a vehicle is expected.

💡 Tip: Use these columns to immediately spot incomplete procurements and ensure all necessary steps are completed.

3️⃣ Using filters to find procurements faster

Filters help you focus on specific procurements based on status, supplier, alerts, and deadlines.

How to Apply Filters:

  1. Click the on a filter at the top of the Procurement Overview.

  2. Select the relevant filter options (e.g., "Stage = completed" to show all completed procurements).

  3. Combine multiple filters to narrow down results (e.g., “Show only procurements from Supplier X that are in progress”).

Most Useful Filters:

  • Status Filter → View procurements that are in “Delivery,” “Offer,” “Registration,” or “Completed.”

  • Alerts Filter → Show only procurements with overdue tasks or unread messages.

  • Supplier Filter → Focus on procurements from a specific leasing provider or dealership.

  • Missing Insurance Contract Filter → Show only procurements where no insurance contract has been added yet, allowing you to quickly follow up and ensure compliance.

💡 Example Use Case: A fleet administrator wants to check which procurements have pending supplier communications. They use the Alerts Filter (Unread Messages) to follow up with suppliers directly from the Procurement Overview.

4️⃣ Sorting Procurements for better organization

Sorting helps you quickly locate procurements based on urgency or priority.

How to Sort:

  1. Click on any column header (e.g., “Expected Delivery Date”).

  2. Choose between ascending or descending order.

  3. Your sorted view will update instantly.

Most Common Sorting Options:

  • Sort by Expected Delivery Date → See which vehicles are arriving soon.

  • Sort by Alerts → Prioritize procurements needing urgent action.

💡 Note: By default, procurements are sorted by alert priority, with procurements requiring immediate action appearing first and those with the most open alerts listed at the top, ensuring that fleet managers address the most critical issues first.

🚀 Summary

By customizing the Procurement Overview, you can create a clearer, more organized view tailored to your fleet’s procurement needs.
