Why Alerts & Notifications matter

Tracking multiple procurements can be overwhelming, with messages, approvals, and deadlines all requiring attention. The Avrios Procurement Module simplifies this by automatically flagging procurements that need action—helping fleet managers and procurement teams stay on top of key tasks.

With Alerts & Notifications, you can:

  • Stay on top of unread messages – Quickly follow up on supplier or team communications.

  • Avoid overdue tasks – Get reminders for pending approvals, contract signings, or missing documents.

  • Monitor upcoming deadlines – Be prepared for vehicle deliveries, financing deadlines, and registrations.

Types of Alerts in the Procurement Overview

Avrios automatically flags procurements requiring action, allowing you to focus on the most urgent ones.

1️⃣ Unread Messages

What It Means:

A supplier, leasing provider, or internal team member has sent a message within the procurement that hasn’t been read.

How to Use It:

  • Click the message alert icon to open and respond to the conversation.

  • Filter the Procurement Overview to only show procurements with unread messages.

2️⃣ Overdue Tasks

What It Means:

A procurement task (e.g., order approval, document submission) is overdue.

How to Use It:

  • Click the task alert icon to view overdue tasks for that procurement.

  • Filter procurements by “Overdue Tasks” to see which require immediate action.

  • Assign task owners to ensure accountability.


3️⃣ Upcoming Tasks (Next 7 Days)

What It Means:

A procurement has a deadline approaching within the next 7 days.

How to Use It:

  • Click the alert icon to check the specific deadline (e.g., contract signing, delivery date).

  • Plan ahead by filtering procurements with upcoming deadlines.

  • Ensure all necessary steps are completed on time.

4️⃣ Using the “Remind Me on Conversation” feature for follow-ups


“Remind Me on Conversation” Alert helps you stay on top of procurement conversations by allowing you to set reminders for follow-ups to conversations.

How It Works:

  • Set a reminder for a specific date within any procurement conversation.

  • If no response has been received by that date, an alert is triggered in the Procurement Overview.

  • Additionally, an email reminder is sent to your account to ensure no important messages are missed.

💡 Example Use Case: A fleet manager requests an order confirmation from a supplier. If they don’t receive a response within three days, Avrios automatically alerts them to follow up.

🔍 Filtering & Customizing Alerts

How to Filter Procurements by Alerts

To quickly focus on procurements that need attention:

1. Click on the Alerts Filter button at the top of the Procurement Overview.

2. Select the relevant alert to only show those procurements.

  • Unread Messages → Focus on pending communication.

  • Overdue Tasks → Resolve the most time-sensitive tasks first.

  • Needs Actions → Procurements with upcoming task or other alerts

3. Clicking on the icon in the first row will show more details about the alerts

💡 Note: By default, procurements are sorted by alert priority, ensuring that the most urgent tasks appear at the top.
