📥 How does automatic extraction work?

Whenever an offer or contract document is added to a procurement – either:

  • via an incoming email conversation, or

  • by manually clicking “Add Offer” or “Add Contract”,

Avrios automatically scans and analyzes the content. Using smart text recognition and data logic, the system identifies key fields and displays them in a structured format.


🧾 What information is detected?

The system typically extracts the following data:

  • Type of financing (e.g. leasing, purchase, long-term rental)

  • Contract partner / supplier

  • Manufacturer and vehicle model

  • Purchase price or leasing rate

  • Term & maximum mileage

  • Offer date

For leasing offers specifically:

  • Monthly leasing rate

  • Rate components (e.g. maintenance, tires)

  • Contract duration (in months)

  • Max. mileage

  • Over-/under-mileage charges

✏️ What if data is missing or incorrect?

Avrios flags fields that couldn’t be read reliably – for example, due to poor formatting or missing values.

You can always:

  • Review and confirm extracted values

  • Edit or correct them

  • Add missing details manually


🔄 What happens after extraction?

The extracted data appears directly in the “Offers” or “Contracts” tab of the procurement

  • The original PDF is stored as a reference

  • You can now:

    • Compare offers side-by-side

    • Accept an offer

    • Or create a financing contract with costs linked to the vehicle for TCO tracking
