What are conversations in procurement?
Communication with suppliers, leasing companies, and internal stakeholders plays a crucial role in every procurement process. Conversations in the Avrios Procurement Module allow you to manage exactly those messages directly where they belong – within each individual procurement.
Instead of searching through mailboxes or manually copying information from emails, Avrios helps you keep full visibility at all times – for:
• Offer requests
• Contract clarifications
• Follow-up questions & coordination
• Status updates from suppliers
Why use conversations?
✅ Centralized communication
All messages are linked to the relevant procurement – traceable, transparent, and accessible to your team.
✅ Shared team visibility
Everyone involved in fleet management can follow the conversation history – even during handovers or absences.
✅ Fewer emails – more structure
By integrating communication into your process, you eliminate constant forwarding, copying, and checking.
✅ No message gets lost
Optional reminders for unanswered messages ensure that important conversations don’t slip through the cracks.
How it works
📥 Forward external emails into Avrios
Simply forward supplier emails to your individual procurement address (e.g. procurement-abc123@avrios.com). The message will appear in the relevant conversation automatically.
💬 Reply directly from Avrios
You can send messages directly from the conversation – including attachments and full message history.
🔔 Notifications for new messages
When a new message arrives, Avrios notifies you in the procurement overview – so you never miss important updates, even with many ongoing procurements.
📎 Documents are read automatically
Attachments like offers or contracts are automatically extracted from messages and displayed under the “Offers” tab.
⚡ Use templates for faster replies
Select predefined message templates to quickly send standard responses (e.g. offer requests or delivery follow-ups). This saves time and ensures consistent communication.
🕓 Reminders for inactive conversations
If a message goes unanswered for too long, you can set a manual reminder – with a direct link to the affected procurement.
👁️ Mark messages as unread
Mark important messages as “unread” to follow up later or to highlight them for colleagues.
